Leave of Absence

General Leave of Absence

Students and apply for leave of absence if they are unable to take courses due to disease and other inevitable reasons

Documents Required
  • Home Affair : stamp of the student, stamp of protector, written opinion of protector
  • Disease : medical certificate from general hospital (over 4 weeks), stamp, ID card
Period

students can apply for leave of absence for maximum 2 times 4 terms)

Submission Deadline
  • Leave of Absence (Unregistered) : within the period notified before term starts
  • Leave of Absence (Registered) : from the beginning of the official registration to ¼ of the number of school days
Procedure

Stamp of student and protector on application form, submit to administration center passing through department office

Registration Category of Leave of Absence and School Records Management
  • Within 1/4 of School Days : registration fee valid (payment of difference for return to school), school records invalid
  • Within 2/4 of School Days : registration fee valid (payment of 1/3 for return to school), school records invalid
  • Within 2/3 of School Days : registration fee valid (payment of ½ for return to school), school records invalid
  • Within 2/3 of School Days : registration fee valid, school records invalid
Notification
  • General leave of absence is not allowed for fresher during the 1st term of the 1st year for any reason apart from enlistment and diseases.
  • In case of enlistment during the period of general leave of absence, enlistment notification or relevant verification document need to be handed in to extend the period of leave of absence
  • Changes in the current address and contact number need to be reported to administration center
Leave of Absence for Military Service

Students who are to joint the army therefore cannot take courses can apply for leave of absence

Required Documents

Notice of enlistment or relevant verification documents (confirmation of enlistment, confirmation of service), stamp of student

period of Leave of Absence : within 3 years

If the period of military service exceeds 3 years, the student can extend the period of leave of absence by 2 years by submitting application for delay of leave of absence (requirement documents :confirmation of long-term military service etc.)

1 week before date of enlistment

Registration Fee and School Records Management for Leave of Absence

If, however, school record is not acknowledged and the date of enlistment is before ¾ of school days, the difference of registration fee for the term of return needs to be paid. If the date of enlistment exceeds ¾ of school days, the whole fee needs to be paid at the time of return.

Notification

- If the student who has applied for leave of absence for military service receives order of return after enlistment needs to report to administration center promptly.

Extension of Period of Leave of Absence

If the student is acknowledged for leave of absence due to inevitable reasons for discontinuing study including notification of enlistment, disease, natural disaster and legal action

Required Documents
  • Extension of Leave of Absence for Military Service : enlistment notification or relevant verification document, stamp of student, ID card
  • General Extension of Leave of Absence : stamp of student, stamp of protector, ID card, medical certificate from general hospital (over 4 weeks) and other relevant verification document.
Period of Leave of Absence

extension of leave of absence for military service is available up to the date of discharge and within 1 year for general leave of absence

Submission Deadline
  • Extension of Leave of Absence for Military Service : after receiving enlistment notification (Application after joining the army : confirmation of enlistment, confirmation of service)
  • General Extension of Leave of Absence : before the date of return to school

Return

The student who is in leave of absence need to return to school during the period of return by expiration of the period reason of leave of absence

Required Documents
  • General Leave of Absence : application form for return, stamp of student, stamp of protector, ID card
  • Leave of Absence for Military Service : application form for return, copy of enlistment notification or certificate of military service, stamp of student, ID card
Return Period

students need to complete the process for return to school within ¼ of total school days through notification or individual report before term starts

Notification

Return is available for students whose periods of return doe not violates the school days designated by school regulations. If the date of discharge exceeds ¼ of school days at the beginning of each term, the student cannot return to school.
